Data Protection Framework
Why do we process personal data?
We collect personal data of individuals which express their interest to us in becoming members of the GESI Working Group. We do not use these data for any other purposes.
Which data do we collect and process?
The personal data collected and further processed include the name and email address. Additional data, e.g.
working place, skills, or professional experience, are stored if voluntarily provided by the individual.
How long do we keep individuals’ data?
Data is kept for the time of the project which is foreseen to run for 2 years, until the end of 2021.
How do we protect data processed by us?
All data in electronic format (emails, documents, etc.) are stored on our secured server which is hosted in Germany.
Who has access to personal or sensitive data and to whom is it disclosed?
Access to data is restricted to the permanent staff of BKP who are bound by statutory and contractual confidentiality agreements. Disclosure to third parties would take place only with the explicit prior approval of the individual concerned, or if it is a legal obligation.
Confidential data entrusted to BKP in the context of this specific project is accessible only to members working on the project, applying the user access management system run on our server. If required by clients, access to such data can be conditioned on the signing of specific confidentiality agreements.
What are individuals’ rights and how can they be exercised?
Individuals are entitled to access their personal data and rectify or block data if it is inaccurate or incomplete. These rights can be exercised by contacting us at the email address provided below.
As we do not process sensitive data in large amounts, we have no dedicated data protection officer. However, if an individual has queries or complaints, or would like to verify the accuracy of his or her personal data and/or correct or have us delete it, this will be arranged by contacting the GST Working Group Project Manager by email at firstname.lastname@example.org.
